Job Description

The Administrative Coordinator will provide comprehensive administrative support for the Department of Occupational Therapy (OT) under the direction of the Chair, Program Director, faculty and other designees.  The Administrative Coordinator will handle day-to day operational tasks associated with the residential, entry-level OT Program and the online, post-professional OT programs (including AMOT and OTD programs), including assisting faculty and students with tasks, and support faculty in their duties.

  1. Assist with recruitment, admissions, and scheduling for the various education programs offered by the department.
  2. Interact with residential and online faculty and students directly, e.g. to develop and implement courses and course related activities in the learning management systems (BlackBoard), develop program materials, booklists, etc.
  3. Coordinate department activities and events under the direction of the Chair.
  4. Handle check request and purchase orders; monitor budget line item expenditures.
  5. Prepare data drive reports and other written documentation as directed by the Chair and other designees.
  6. Delegate duties to OT administrative assistant as appropriate and oversee completion of tasks.
  7. Engage in, assist with, and coordinate special projects as assigned by Department Chair.
  8. Other duties as assigned.

Skills / Requirements

Applicants with college degree or equivalent experience, with 3-5 years previous administrative expertise in an academic environment preferred.  Candidates should have expertise with databases, spreadsheets, and production of reports with proficiency in Microsoft Office and the willingness to learn new technology and applications.  Applicants need excellent people skills and the ability to work well with a diverse group of faculty, students, staff, alumni and professionals in the community.  The ideal candidate will be highly organized, detailed oriented, and self-directed with strong interpersonal skills.  Candidates should have an appreciation and respect for academic rigor and excellence and the demands associate with professional education and training. Candidates should have knowledge of budget development, implantation, and monitoring.
