Job Description

Responsibilities include:

  • Coordination of applicant review process
  • Maintains correspondence, scan/email information to faculty, staff, students and other persons as designated by sender. Address and email any correspondence needed for Faculty, Staff and or Students
  • Plans and implements program professional events, providing support of administrative needs of program, schedules rooms, order meals, preparing event forms
  • Orders student medical equipment
  • Initiates and maintain student, clinical, alumni, and professional contact databases
  • Prepares and maintains student files, including scanning of graduating class files
  • Schedules student review board meetings as requested by chair or faculty
  • Provides administrative support in areas of purchasing, professional correspondence, and assisting the PA chair/program director
  • Coordinates and implements department services such as payroll, records control, projects and budget accounting operations
  • Note taking during faculty/staff meetings, schedule room, send invites for meetings
  • Proctors exams
  • Provides course adoption information form for book list to administration
  • Faculty and staff travel
  • Facilitates verification form completion for medical licensing
  • Tracks request for leave forms, maintain PA vacation and CME calendar
  • Facilitates contact between faculty, staff and, professionals
  • Provides clerical and general office support that contributes to the accomplishment of the goals of the program
  • Interacts with faculty, students, staff, alumni, and professionals in the academic community and general public
  • Ensures complete confidentiality in matters pertaining to university personnel, university business, and all schools/departments
  • Analyzes department operating practices such as record keeping systems, forms control, office layout, and personnel requirements, creating/revising systems
  • Interprets and communicates operating policies
  • Coordinates preparation of financial and operations reports
  • Locates and compiles information and formats reports, graphs, tables, records, and other sources of information
  • Assembles and categorizes facts and figures for written computation and calculations
  • Operates personal computer to access e-mail, electronic calendars, and other basic office support software
  • Uses various software applications, such as spreadsheets, relation databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports
  • Other duties as assigned by the department chair

 

Skills/ Requirements

 

  1. Good verbal communication and editing skills for phone and written communication
  2. Experience in business or academic office setting
  3. Experience interacting with internal and community affiliates
  4. Ability to follow and share information regarding university policy and procedure
  5. Knowledge of Microsoft Word, Microsoft Excel, databases and basic computer skills
  6. Strong organizational skills
  7. Ability to efficiently manage multiple projects and tasks simultaneously
